Although our employee’s period of stay will not expire for some time, they have been assigned to a long overseas business trip. Can we file the extension before departure?
The standard filing window for an extension of period of stay is from approximately three months before the expiry date up to the expiry date itself. Filing more than three months in advance requires special circumstances and submission of an explanatory letter (and related documents).

Please note that even with an explanatory letter, the application may not be accepted if the situation is not recognized as “special.” Typical examples include hospitalization or an extended business trip abroad.

Accordingly, if a long overseas assignment has been scheduled and the employee cannot return during the usual filing window, you should consult the Regional Immigration Services Bureau with jurisdiction over the employee’s registered address in advance to determine whether an early submission will be accepted.
